Greetings to Charleston Place II Residents,

Thank you for responding positively to following our covenant concerning street and yard parking.
Residents can communicate by posting requests, complaints, praise or questions at our new email address which is CharlestonIIHOA@gmail.com. The Transition Team will review your comments and discuss as a group. The Transition Team is now positioned to better keep you informed with Charleston Place II news and communications. You can receive informational updates posted periodically on the official Charleston Place II Web site CharlestonPlaceII.org. The current Charleston Place II Facebook page should not be recognized as a reliable source for communication with the committee. Know that residents of Charleston Place II will be notified of a future meeting as set forth in GA Code § 44-3-230 (2018). Below is a list of the work of which the Transition Team has engaged. There is still much to be done and we ask for your patience and support as we move forward to being the best we can be.

Replaced flag at club house.
Installed working cameras in club house and pool area.
Sent notice to all residents of parking requirements in Charleston Place II.
Repaired fence around pool and will soon be painted.
Replanted entrance with more sustainable plants.
Renewed insurance for HOA.
Replaced club house microwave oven.
Organized Architectural Committee.
Architectural Committee reviewed neighborhood to report needs.
Contracted lawn care for HOA properties.
Contracted pool services with Cline and working to improve these services.
Thresh-hole repair to door in club house.
Support posts for deck replaced and will be painted.
Fire extinguishers replaced in club house.
Approved two building requests submitted by homeowners.
Annual dues notice placed in all resident’s mailboxes.
Installed required help and panic system for rescue for fire, police, and medical at club house.
Contracted painting for club house interior
Contracted Ring Security to monitor pool Club House area.

Opening the pool has changed; Opening is May 1 and closing September 30.
Installed internet at Club House that members can connect to using SSID-> CharlestonIIHOA and password -> 3526150778.
Construction of web site for clearing house of information for Charleston Place II residents.

Charleston Place II Residents,

Just some quick news and reminders from the HOA committee.

  1. HOA dues will be due in July.  Check your mailboxes for the due letters. They should be delivered to you soon.  You will either be able to mail the payments in or drop them off at the clubhouses. Specific payment instructions are included in the letter.
  2. The pool is now open and has already been used by a lot of our residents.  Please be aware that although the pool has regular maintenance accomplished on Mondays things do occasionally break and rarely on Mondays.  If you see a sign that says the pool is closed, please adhere to it.
  3. There are no animals allowed in the pool or the fenced-in areas surrounding the pool.
  4. All official notices will be posted on the HOA website https://charlestonplaceii.org.  Facebook will not be used for formal communications.
  5. In the coming months, the lock for the clubhouse door will be changed out.  It will no longer use a pass code and will use the same key fob that you currently use for the pool.
  6. The HOA committee is looking for volunteers for our financial department.  Our current bookkeeper has moved.  We are looking for 2 volunteers with basic accounting or bookkeeping experience.  The job takes about 4 to 5 hours of work a month.
  7. The HOA committee meets at the clubhouse on the 1st Tuesday of every month at 6pm.  Please come by with questions or concerns that you may have.  If you want to be a part of the committee or help in someway, just let us know we are always looking for volunteers.
  8. If you still need your key fob, please reach out to us using the Contact Us link on the website.
  9. Let your neighbors know what’s going on.  Help us spread the word.  There are still some people that we do not have updated contact info for.

Subject: Establishment of the Financial Department of Charleston Place II HOA

Effective Date: 4 June 2024

The Financial Department will consist of two positions. A Primary Treasurer and a Secondary Treasurer. 

Both positions’ terms will last for one (1) year. The Executive Department will approve nominees to the positions.

Both the Primary Treasurer and HOA President will sign all outgoing checks.  In case of one of their absences, the second validation signature can be that of the Secondary Treasurer (for the Primary) or the HOA Vice President (for the President).

In the unlikely event that either office holder needs to be removed from their position before their term expires.  The Executive Department would hold a vote. Removal would take a unanimous vote from all members of the Executive Department.

The following will be the responsibilities of the Financial Department:

  1. Receipt, recording and depositing of all incoming monies.  Whether these funds are of cash, checks, or electronic means. 
  2. Receipt, processing and payment of all authorized expenditures of the HOA.
  3. Maintain a financial ledger and historic financial record.  
  4. Maintain a list of HOA dues, prepare and send out the yearly HOA due letters, including overdue notices.
  5. Provide all needed records to aid whoever is preparing taxes.
  6. Prepare a budgetary/financial report once every month, including a separate end of the year report which will be presented at the annual HOA meeting.
  7. Process “Change of Hand” letters for escrow purposes.
  8. Maintain the current owners list.
  9. Prepare and track miscellaneous documents as needed.
